Who it's for

Why operators use Zoho Books

Businesses that keep their books in Zoho Books, common in India, the Gulf and with small teams worldwide, and want bookings recorded without copying anything by hand.

Highlights

  • Every sale, payment, refund and credit note sent to Zoho Books as it happens
  • Booked to the accounts and taxes you choose
  • Works with your Zoho data centre: India, EU, US, Australia and more
  • A sync log with retry for anything that fails

Zoho Books in your own data centre

Zoho keeps each organisation in one data centre: the United States, Europe, India, Australia, Japan, Canada, Saudi Arabia or the United Kingdom. The plugin connects to the one your organisation lives in and stays there for every request, which matters for businesses that need their financial records kept in a particular region.

Zoho Books is common with operators in India and the Gulf, where the books must show tax correctly. Each sale arrives as an invoice, marked as sent and numbered with your Tourtify booking reference, with the tax you mapped for sales: GST in India, VAT in the Gulf or the United Kingdom.

Payments and refunds that match your bank

Payments are recorded against the invoice in the account for their payment method, so online card payments, cash taken by a guide and bank transfers each land where your bank statement will show them. Refunds go as credit notes refunded from the same account. A deposit and a balance paid months apart are two payments on one invoice, exactly as they happened.

Booking fees, gift vouchers, payment links and till sales can each have their own account, and payouts such as agent commission and crew pay are recorded as money spent.

Reporting per tour

Zoho Books groups transactions with reporting tags rather than tracking options that can be created on the fly, so the plugin does not tag sales by tour. Each invoice carries the tour and booking reference in its lines, and Tourtify's own reports show sales and margin per tour.

Setting up Zoho Books

  1. 1Switch on Zoho Books. Open Plugins in your console and turn it on.
  2. 2Connect your organisation. Sign in to Zoho. The data centre is detected from your login, so there is nothing to choose.
  3. 3Map accounts and taxes. Choose income accounts and taxes for sales, the accounts for each payment method, and accounts for fees, vouchers and payouts.
  4. 4Choose contacts. One contact per traveller email, or one shared contact with the booking reference on each invoice.
  5. 5Set a start date and catch up. Send older records in the background, then new ones follow as they happen.

FAQ

Zoho Books: questions

Does it work with Zoho Books India and GST?

Yes. Connect your Indian organisation and map your GST rates for sales. For e-invoices on the government portal, use Tourtify's e-invoicing for India alongside it.

My organisation is in the EU data centre. Do I need to set anything?

No. The data centre comes from your Zoho login and every request goes there.

Can I send bookings from before I connected?

Yes. Set a start date, then use Catch up: every sale, payment and refund since that date that hasn't reached your books yet is sent in the background, at the pace the accounting system allows. Nothing dated before the start date is sent.

What happens if the connection stops working?

Owners get an email straight away. New records wait in Tourtify, nothing is lost, and everything waiting is sent as soon as someone connects again.

Which plans include Zoho Books?

Zoho Books is available on Growth & Scale, at no extra cost.

How do I switch on Zoho Books?

In your Tourtify console, open Plugins, find it in the list and switch it on. Its settings open straight away, and you can switch it off again at any time.

Do I need a developer?

No. Plugins are built into Tourtify and set up from the console. Where an outside account is involved, such as a payment provider, you connect it by entering your account details.

Does Zoho Books work with my other plugins?

Yes. Every plugin is built and maintained by Tourtify, so they work together: discounts, deposits, vouchers and fees all add up correctly at checkout.
