A proper invoice for every booking

Many travellers, and nearly all businesses booking for staff, need a numbered invoice with your legal name and tax ID. Issuing them by hand is slow, and editing an invoice after a change breaks the record your accountant relies on. Invoices & tax receipts issues a numbered invoice for every booking, emails it to the traveller as a PDF and never edits an issued document. The plugin is available on Starter.

Your legal name and registered address come from your business details, and your VAT or GST number from your tax settings. If you have another number to show, such as a PAN or company number, add it in the plugin. When a traveller needs the invoice made out to their company, it carries the company name, address and tax ID.

Numbering and changes

Invoices are numbered from a prefix, “INV-” by default, continuing from the last one issued: INV-00041, INV-00042. Credit notes have their own prefix, “CN-” by default, and must differ so an invoice and a credit note never share a number. Choose whether the invoice is issued when a booking is confirmed (on a deposit or full payment) or only when it is paid in full.

When a booking changes, the invoice is not edited. Tourtify issues a credit note and a new invoice. If a traveller adds a $50 transfer to a $600 booking, the $600 invoice is credited and a $650 invoice is issued. Refunds are credited, and so is whatever a cancellation leaves unpaid. Your numbering never has gaps, and what invoices less credit notes add up to always matches what the traveller owes.

Sending and exporting

Invoices are emailed to the traveller by default, and can be downloaded any time. Add a note at the bottom of every invoice for payment terms, bank details or a thank-you. Your team can resend invoices in bulk.

For your accountant, the invoice register exports to CSV, and the PDFs download together as a ZIP. The register and exports are limited to finance roles. Invoices can also be produced in the EN 16931 e-invoicing structure.

Nepal tax invoicing

For businesses registered in Nepal, Nepal mode issues IRD tax invoices: numbering per Bikram Sambat fiscal year with no gaps, Bikram Sambat dates, the seller's and buyer's PANs, amounts in words, and NPR amounts for foreign-currency invoices at the Nepal Rastra Bank rate of the invoice date. The first print is the original; every later print, download or emailed copy is marked “Copy of original”.

Documents sync to the IRD's Central Billing Monitoring System (CBMS), with retries and alerts if syncing fails. The Sales book (Bikri Khata), the monthly VAT summary and the register of every bill export as CSV, Excel or PDF. IRD approval of the billing software and CBMS credentials are applied for per taxpayer; Tourtify builds to the published IRD format.
