Who sees an enquiry and who is alerted
New enquiry alerts go to the business's owners and admins, each in their own console language where Tourtify's emails support it. A form on your website can have its own Send messages to address, for example a reservations mailbox, and its enquiries alert that address instead. That lets a busy owner keep alerts for tour questions with the sales desk while still seeing everything in the inbox.
Anyone who can see customers can work the inbox, which by default means owners, admins and sales agents, while guides don't see it. Downloading enquiries as CSV needs the separate export permission, because a file of names, emails and phone numbers is how customer lists leave a business. The website language each enquiry was sent in is saved with it, so replies and quotes can go out in the traveller's language.
Reply by email opens your own email app with the traveller's address and subject filled in, and a New enquiry moves to Contacted as you open the reply. That keeps the status honest without an extra click, and the conversation stays in the mailbox your team already uses.
Give every lead an owner
Leads go cold when everyone assumes someone else replied. On each enquiry, choose who it's Handled by and keep Team notes on what was discussed and what to send next. The owner filter shows Mine or Nobody's yet, so a morning routine can be as simple as opening the unowned new enquiries, sharing them out, then working your own list.
Select up to 200 enquiries to change their status or owner in one go, which is handy after a trade show or when someone goes on leave. Status and owner changes are written to the activity log. Save the filters you use daily, such as your own new enquiries from the last week, as a saved list view and make it your default.
Enquiries that never touch your website
Many leads arrive by phone, at the office counter or in a social media message. Choose Log enquiry to record them with the traveller's name, email and message, and optionally the tour, number of travellers and preferred date, plus where it came from: phone call, walk-in, email, social media message or other. It is saved as logged by staff, marked Contacted, assigned to you, and nobody is emailed because you're already talking to the traveller.
Logging offline leads keeps your pipeline honest. If only website enquiries are recorded, the won and lost figures say nothing about the office. Tailor-made requests from the Plan my trip section on your website arrive here too, with the traveller's destinations, dates or flexibility, trip length, adults and children, budget, travel style and interests laid out ready to read.
Closing the loop
Mark an enquiry Lost when a traveller books elsewhere or goes quiet, so New and Contacted only contain leads worth chasing. When you create a booking from an enquiry it is marked Won, and the traveller's message is copied into the booking note so special requests are not lost on the way.
Filter by type now and then to learn from the pattern. A steady stream of date requests on one tour suggests it needs more departures, while many tour questions about the same detail suggest the tour page should answer it. Use the date range filter to compare one season with the next.
