Who it's for

Why operators use Waivers & consent

Activity and adventure operators who need every participant to accept a waiver or terms before taking part.

Highlights

  • Signed online before the trip or on a tablet at the meeting point
  • Each traveller signs for themselves; guardians sign for minors
  • A record of each signature with the exact wording accepted, which your team can open as a PDF
  • Check-in can be blocked until the waiver is signed
  • Status on the manifest and in the field app

Consent from every participant, before the activity

Adventure activities usually need each participant to accept a release of liability or your terms before taking part. Paper forms at the meeting point slow the start, get lost and are hard to find when you need them. Waivers & consent collects signatures online before the trip or on a tablet on the day, and keeps the exact text each person signed. The plugin is available from the Growth plan.

You write the waiver title and text once for your business. A tour can have its own waiver instead, used for bookings of that tour, so a canyoning trip and a city walk can ask for different terms.

Who signs what

By default every traveller signs for themselves, not just the lead booker. Switch that off if one signature per booking is enough. Each person signs on the booking page or their own traveller link, alongside their details when Traveller details is on.

Minors can't sign themselves. Set the age (under 18 by default, between 1 and 25), and travellers below it, by their date of birth on the trip date, are signed for by a parent or guardian. The signature is recorded as signed on their behalf. A family of two adults and two children aged 10 and 14 gives two adult signatures and two guardian signatures.

Evidence you can rely on

Each signature keeps the exact wording accepted, the time and the IP address, and your team can open it as a PDF evidence record. The record is hashed and sealed with a tamper-evident seal, and signatures can't be edited or deleted in the database. If the record were changed outside the app, it would no longer match its seal.

When you edit the waiver text, a new version is created. Existing signatures keep the version they signed. If you change a tour's own waiver, travellers are asked to sign again, because their signatures no longer match the new text. If a card payment is disputed, the signed waivers for the booking are added to the dispute evidence.

On the day

Some travellers never sign in advance. The on-site kiosk gives each departure a page, shown as a QR code on the manifest. A traveller opens it on a tablet or their own phone, finds their booking with the reference and their surname, and signs. The kiosk never reveals the booking's private link.

For activities where it matters, block check-in until the waiver is signed: the manifest won't check in a traveller who must sign and hasn't. Signature status shows on the manifest and in the field app. Unsigned travellers are reminded 7 and 2 days before departure by default, or by Traveller details' reminders when that plugin is on.

Setting up Waivers & consent

  1. 1Turn on Waivers & consent. Switch the plugin on from Plugins (Growth plan and above).
  2. 2Write your waiver. Enter the title and full text. Add a tour's own waiver from the Waivers page if it needs different terms.
  3. 3Choose who signs. Decide whether every traveller signs, and set the age below which a guardian signs.
  4. 4Set up the day itself. Keep the kiosk on and decide whether check-in is blocked until the waiver is signed.
  5. 5Set reminders. Choose the days before departure to remind unsigned travellers.

FAQ

Waivers & consent: questions

What happens to old signatures when I change the text?

They keep the version they signed. Changing a tour's own waiver asks travellers to sign the new text.

Can travellers sign at the meeting point?

Yes. The kiosk page for the departure lets them find their booking and sign on a tablet or their own phone.

How are minors handled?

Travellers under the age you set, by date of birth on the trip date, are signed for by a parent or guardian, recorded as such.

Which plans include Waivers & consent?

Waivers & consent is available on Growth & Scale, at no extra cost.

How do I switch on Waivers & consent?

In your Tourtify console, open Plugins, find it in the list and switch it on. Its settings open straight away, and you can switch it off again at any time.

Do I need a developer?

No. Plugins are built into Tourtify and set up from the console. Where an outside account is involved, such as a payment provider, you connect it by entering your account details.

Does Waivers & consent work with my other plugins?

Yes. Every plugin is built and maintained by Tourtify, so they work together: discounts, deposits, vouchers and fees all add up correctly at checkout.
