Emails that go out by themselves

Plenty of traveller emails are the same every time: a welcome after booking, what to bring before departure, a thank-you and review request afterwards, a nudge about the balance. Writing them by hand means some get forgotten. Email automations sends them on a trigger, with your timing and wording. It has two parts: abandoned checkout recovery on Starter, and your own automations on Growth.

Abandoned checkout recovery

Some travellers start paying and don't finish: a phone call, a card in another room, second thoughts. When their checkout expires, recovery sends up to three follow-ups, by default 1 hour, 24 hours and 72 hours after it expired. Each email has a link that restores the booking panel with their date, travellers, extras, hotel room and extra nights already filled in. Prices are always quoted again, and no personal data is put in the link.

The last reminder that's switched on can carry an offer: none, a promo code you already have (such as COMEBACK5), or a unique single-use code for each traveller, 10% by default, expiring after 3 days. You can write your own subject line and a message at the top of each email, using {tour} and {name}.

If their date sells out, reminders stop by default, or carry on suggesting other dates. When the traveller books after a reminder, the booking is counted as recovered and credited to the reminder they clicked, so you can see what each step brings in. Remaining reminders are cancelled.

Your own automations

On Growth you build your own emails. Triggers are: booking confirmed, before departure, after the trip, balance due, booking cancelled, enquiry received, and enquiry with no booking. Set the timing, up to 365 days, for example 3 days before departure or 1 day after the trip.

Conditions narrow who gets it: certain tours, certain sales channels, a minimum number of travellers, confirmed bookings only, or a segment from Email campaigns. Write the subject and body in simple formatting with merge tags such as {first_name}, {tour}, {date}, {time}, {meeting_point}, {balance}, {pay_url}, {manage_url} and {review_url}.

Five templates get you started: a welcome on booking, a pre-trip checklist three days before departure, a review request the day after the trip, a balance reminder seven days before it's due, and a win-back thirty days after an enquiry that never booked. Each automation goes once per booking or enquiry, is logged and shows on the booking's timeline.

Setting up Email automations

  1. 1Turn on Email automations. Switch the plugin on. Abandoned checkout recovery is available on Starter.
  2. 2Set up the recovery reminders. Choose which of the three reminders to send, their timing and any message of your own.
  3. 3Choose the recovery offer. No offer, an existing promo code, or unique single-use codes. Codes need promo codes on in Discounts.
  4. 4Decide what happens when a date sells out. Stop the reminders, or keep going and suggest other dates.
  5. 5Build your own automations. On Growth, start from a template or a blank email, set the trigger, timing and conditions, then switch it on.

FAQ

Email automations: questions

Will a traveller get the same automation twice?

No. Each automation goes once per booking or enquiry.

Can I see whether recovery emails work?

Yes. Recovered bookings are credited to the reminder that brought them back, so you see revenue per step.

What if a segment I used is deleted?

The automation then sends to no one rather than to everyone.

Which plans include Email automations?

Email automations is available on All plans, at no extra cost. Your own automations is included on Growth & Scale.

How do I switch on Email automations?

In your Tourtify console, open Plugins, find it in the list and switch it on. Its settings open straight away, and you can switch it off again at any time.

Do I need a developer?

No. Plugins are built into Tourtify and set up from the console. Where an outside account is involved, such as a payment provider, you connect it by entering your account details.

Does Email automations work with my other plugins?

Yes. Every plugin is built and maintained by Tourtify, so they work together: discounts, deposits, vouchers and fees all add up correctly at checkout.
